Where will the 2023 OpenInfra Summit take place?
This year’s Summit will be held at the Vancouver Convention Centre - East Building, located at 1055 Canada Pl, Vancouver, BC V6C 3E2 Canada.

Where do the OpenInfra Summits (formerly OpenStack Summits) take place?
The OpenInfra Summits (formerly OpenStack Summit) happen all over the world. The 2023 Summit will take place in Vancouver, British Columbia.

What is the format of the Summit?
The Summit will run for three days, Tuesday - Thursday, June 13-15.

Keynotes will be held Tuesday, June 13. Marketplace booths, breakout sessions, and The Forum (developer and operator working sessions) will run Tuesday - Thursday.

What is the price of registration?
Early Bird Full Access Pass (deadline February 15 at 11:59pm PT): $599
Regular Full Access Pass (deadline May 5 at 11:59pm PT): $799
Late Full Access Pass: $1099

Are there any contributor discounts for the Summit?
Yes, there are! To qualify for this discount, you will need to have contributed at least one commit which merged to an official governed OpenInfra project (OpenStack, StarlingX, Airship, Kata Containers, OpenDev, Zuul, OpenInfra Labs) in the last 6 months as of January 1, 2023. Contributor Codes (formally known as ATC or AUC discount) are priced as follows:

Early Bird (deadline February 15 at 11:59pm PT): $249
Regular Price (deadline May 5 at 11:59pm PT): $399
Late Registration: $599 (code must be redeemed by May 26 at 11:59pm PT)

Is discounted registration available for OpenInfra contributors?
Contributors to OpenInfra projects (OpenStack, Kata Containers, Zuul, StarlingX, Airship, and OpenInfra Labs) who have committed a change in the last six months as of January 1, 2023 are eligible to receive discounted registration for the OpenInfra Summit. Each eligible contributor will receive the code via email. Contributor registration prices will increase on February 15 at 11:59pm PT.

Is discounted registration available for students, nonprofit or government employees?
Yes, if you are a student or work for a government/nonprofit entity you may apply to receive a discounted pass to the Vancouver Summit. The deadline for student and government/nonprofit applications is May 25, 2023.

I received a discount registration code, how do I use it?
During registration, there is "Promo Code" field where you enter in your name, company, and email address.

Yes, refunds and ticket transfers will be processed until May 26, 2023 at 11:59pm PT.

The link I had for OpenInfra Summit registration requires a password. How do I register?
In an effort to leverage more open source solutions, we are now using an open source tool for OpenInfra Summit registration.

Are there any discounted hotel blocks available for OpenInfra Summit attendees?
There are not discounted hotel blocks available for the OpenInfra Summit, but we have collected several hotels with availability that are walkable to the Vancouver Convention Centre.

What hotels are nearby the OpenInfra Summit venue?

Are there tickets available for spouses and / or children traveling with me to the OpenInfra Summit?

How can I learn more about the accessibility at the OpenInfra Summit?
Attendees are able to inquire if accommodations are available and make suggestions for future accommodations at events. Please contact [email protected] for more information.

Are service and emotional service animals allowed at the OpenInfra Summit venue (the Vancouver Convention Centre)?
Yes, guide and service animals are welcome in the Vancouver Convention Centre. We recommend bringing relevant paperwork to the venue. Attendees are encouraged to contact additional relevant venues they will be visiting, including hotels and restaurants as the OpenInfra Foundation cannot guarantee permission at outside venues.

What meals will be available at the OpenInfra Summit?
A light breakfast will be provided on Tuesday at 9am in the OpenInfra Marketplace. Lunch will not be provided at the OpenInfra Summit and attendees are encouraged to visit the walkable restaurants to continue networking with fellow attendees.

Additionally, on Wednesday, there will be a Diversity & Inclusion lunch sponsored by Bloomberg, and RSVP is required as well as a Speed Mentoring Breakfast sponsored by Red Hat on Thursday where RSVP by both mentors and mentees is also required.

VANCOUVER TRAVEL

Is there any financial support available for travel/accommodation?
Yes, if you are a key contributor to an open infrastructure project and your company does not cover the costs of your Vancouver travel and accommodations, you may apply for the Travel Support Program.

The Travel Support Program's aim is to facilitate the participation of key contributors to the Open Infrastructure Summit by covering the costs for their travel and accommodation. The OpenInfra Foundation sets aside a fund to support this program. If you are a key contributor to a project managed by the Foundation and your company does not cover the costs of your travel and accommodation to Vancouver, you can apply for the Travel Support Program.

Do I need a visa to travel to Vancouver?
Before submitting a request, please check here to see the Canada visa requirements for your country.

As a general planning guideline, if a visa is needed, a foreign traveler should apply for their visa as soon as possible, preferably no later than 60 days before the travel date. Requests for invitation letters must be received before May 25, 2023.

Visa letters will be emailed to you within a 5 business day turnaround timeframe. Please do not follow up before then. No hard copies will be sent. If you have questions please email [email protected].

What is the deadline to submit a visa letter request?
Deadline to apply for visa invitation letter: May 23, 2023 Note: If your visa is declined, email your registration refund request to [email protected] no later than May 26, 2023.

How long does it take to get a visa?
We recommend you give yourself at least 60 days to complete the visa process.

OpenInfra Summit breakout sessions are 30 minutes long.

How long are OpenInfra Summit lightning talks?
OpenInfra Summit lightning talks are 15 minutes long.

When will speakers who submitted to the CFP receive notifications about their submission?
The OpenInfra Summit schedule will be published the week of February 6, 2023. Individuals who submitted presentations to the CFP will receive a notification at this time.

FORUM

How long are OpenInfra Summit Forum discussions?
Depending on the topic, OpenInfra Summit Forum discussions are either 30 minutes or 70 minutes. Please check the schedule to understand each discussion’s specific length.

What is the deadline to submit a discussion to the Forum?
April 21 is the deadline to submit a discussion topic.

When will the schedule for the Forum be available?
A draft of the schedule will be published for community sources session conflict detection deadline on April 28. The final schedule will be set by May 6.

However, we will be doing two rounds of acceptances so you would find out if your talk has been accepted prior to the draft schedule being published. The first round of acceptance notifications will be going out early April.

How do I register for the Forum?
The Forum is co-located within the OpenInfra Summit so by registering for the Summit, you are registered for the Forum as well. There is no separate registration.

PROJECT TEAMS GATHERING (PTG)

How can my team sign up to participate at the Vancouver PTG?
The first step is to fill out the interest survey by April 2 at 11:00pm PT. After that point, the moderators provided in the survey will be contacted to sign their teams up for time.

How do I register for the PTG?
The PTG will be co-located within the OpenInfra Summit so by registering for the Summit, you are registered for the PTG as well. There is no separate registration.

When will the schedule for the PTG be available?
The schedule will be available mid April but will be dynamic and subject to change, so please keep an eye on communications! Teams that have signed up to participate will be contacted at the end of April to schedule themselves via the PTGBot the same way they do for virtual PTG events.
